Pick List Workflow

This guide outlines the workflow for handling orders that need to be picked and shipped using the Pick List for WooCommerce. The steps provided are examples tailored to optimize the pick and ship process. Adjust these steps as necessary to fit the specific needs of your online shop.

Setting Up Your Pick List

Before diving into the workflow, it’s essential to configure the Pick List to suit your online store’s unique requirements.

  1. Set it up to fit your online shop
    1. Go to WooCommerce > Settings > Pick List
    2. General
      1. Set up how many orders you want to see per page (Pick List orders tab) and the statuses you want and perhaps the orders date range (e.g. this month) as this will make your list fast.
      2. If you set Automatically update – new orders is automatically inserted to the orders list.
    3. Pick Order
      1. Copy your company logo URL to the first textbox.
      2. If you like to automatically change order statuses you can set this up here too.
    4. Custom order fields – add if you need
    5. Barcode integration
      1. Set this up if you want to pick orders using barcode scanners or just need barcodes on your pick lists (read section on how to set this up)


So, now you have set up the Pick List to suit your needs. Let’s have a look at what the idea is to pick effective.

The Pick List Workflow

  1. Go to WooCommerce > Pick List
    1. Option 1.
      • The Orders tab is a list of orders, where you as a manager or pick handling employee can view all incoming orders and see what is in progress, done and so. As a manager you can assign pickers, set priorities (for the pick), get some stats, filter on assignees and progress (and more). The ones that picks the orders can also use this page as an “project management” tool or a task list if you like.
        1. This list is dynamic and will update automatically (if set up in settings)
    2. Option 2.
      • Use the Pending Pickup Orders tab to access unpicked orders, oldest to newest (several options in settings for the query). This tab works in the same way as the Orders tab.
    3. From the orders table / pending pickup orders table > click the Pick Order button to enter the pick list for an order.
    4. Pick Order
      1. If you use barcode scanner you can just start to scan (if the scanner icon blinks – if not click the barcode button).
      2. Click the pick / unpick to pick items.
      3. Print pick list (green print button) and use this if you like. When done picking manually you can use the QR code to enter this order pick and bulk pick (bulk pick button) to complete the pick.
      4. When done picking you can click the shipped button – this will update the order note and add the note on the order for customer (my orders)
      5. Click back (button) – to enter next pick.

  1. Go to WooCommerce > Orders
    1. This is the orders list made by WooCommerce. To enable a way to pick orders from this list you need to add the Actions column (Screen options – top right on the page)
    2. Click the action button with checkboxes icon (hover the button and a Pick Order message shows).
      1. You can start picking the order.

  1. Enter any order (Edit order)
    1. In the order details you find the heading Pick information
    2. Two links here: Orders and Pick this order (click this to pick this order)
      1. The orders link sends you to Pick List orders (tab)
      2. Set priority on the order pick
    3. In the items list a column ( Pick Status ) is added to enable you to see if items is picked.
